The Administrative Assistant to an Executive is responsible for providing support to one or more executives of the organization. In performing these duties, the Administrative Assistant to an Executive will handle confidential materials and documents in a professional and discreet manner, answer and screen telephone calls, maintain calendars, and coordinate travel plans and meetings. The Administrative Assistant to an Executive will often make decisions independent of the executive; is expected to “make it happen”.
Duties and Responsibilities
Provides Executive Administrative Support: Provides perspective and guidance to the executive to assist in the execution of the executive’s duties. May decide some outcomes which may have organizational impact. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Provides leadership to build relationships crucial to the success of the organization by participating in professional organizations and other activities. Performs special projects independently from conception to completion. Manages day to day administrative function including but not limited to:handling confidential information/documents discreetly, Coordinating meeting logistics, Routing reading materials to others in the organization and obtains feedback. Preparing and/or coordinating with Marketing and other departments on presentation materials. Tracks, approves and submits expense reports.
Work Environment: Work performed indoors and the office noise level is usually moderate. Limited travel by auto or airplane may be required.

Participates in Training/Certifications
Bachelor's degree from an accredited college or university; or 8 to 10 years of related experience and/or training; or equivalent combination of education and experience
Ability to prepare and write reports, business correspondence and procedures, and routine correspondence
Ability to effectively present information and respond to questions in one-on-one and small group situations with customers, clients, and co-workers
Ability to recognize and create organizational tools that enhance processes and procedures
Ability to calculate mathematical figures such as addition, subtraction, multiplication and division
Ability to apply concepts such as fractions, percentages, and proportions to practical situations
Proficient with Microsoft software programs such as Word, Excel, Outlook, and PowerPoint
Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists
Ability to define problems, collect information, establish facts, and draw valid conclusions
Regularly required to sit, talk and listen
Occasionally required to stand, walk, and reach with hands and arms
Exerts minimal physical effort, occasional handling of average weight objects up to 25 pounds
